Administrative Assistant - Sales Support Specialist

The ideal candidate will be professional, energetic, extremely well organized, a quick learner and possess a “Can Do / Will Do” attitude. This person will work closely with our Machine Tool Sales Team to improve the efficiency of the sales process and to provide the customer with a positive sales experience.

Responsibilities

* Maintain sales and customer databases; record and communicate progress on sales opportunities, record and communicate progress during delivery/install stages, update customer information. Create and run sales analytics reports as requested
* Create and edit multiple spreadsheets. Ability to utilize advanced Excel functions – VLOOKUP, Pivot Tables, macros, etc
* Prepare and design general correspondences, memos, presentations, etc. Proofread for spelling, grammar, layout, etc. Responsible for accuracy and clarity of final copy
* General administrative duties - copy, set up files, track expenses, etc
* Prioritize and help manage multiple projects simultaneously, and follow through on issues/requests in a timely manner
* Attend meetings and coordinate with other departments as requested by Sales team. Take meeting notes in customer-facing sales meetings. Ensure that uncovered customer questions and needs are properly documented for follow-up
* Assist in the creation of customer focused presentations as requested

Requirements

* Three or more years administrative – sales support experience
* Experience and confidence working with multiple software applications, databases
* Proficiency in MS Office (Excel, Word, Outlook) Intermediate to advanced knowledge of Excel
* Experience working in databases and running reports
* Flexible and adaptable. Able to organize tasks and time to ensure completion of all duties. Excellent follow-up skills
* Responsive, professional and courteous. Able to communicate clearly and confidently with fellow employees, customers and suppliers
* Strong attention to detail
